1.What this Privacy Policy covers

This is the Privacy Policy for Glasgow City Heritage Trust, and our website.

We are committed to being transparent on how we collect, use and protect your personal information. The data controller is Glasgow City Heritage Trust (referred to in this policy as “we“, “us” or “our“). We want you to be confident that the personal information you give us is safe and secure with us, and understand how we use it.

2. How we collect and use your personal information

This section explains how we collect and use your personal information.

2.1. GCHT Mailing List

We will collect your name and email address when you register to receive GCHT e-newsletters. We use this to: tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organisations and businesses.

We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing info@glasgowheritage.org.uk.

2.2. Grant Enquiries and Applications

We collect your personal information from you when you make grant enquiries or applications via forms on our Site, by email or in hard copy. We use information this so that we can manage your enquiry.

We use a third-party provider, Typeform, to manage Grant Enquiries via our website. During this process we will collect your personal information and project details so that we can check eligibility and process your enquiry. We also use Typeform to gather statistics around numbers of applications and responses using industry standard technologies to help us monitor and improve our grant programmes. 2.3. GCHT Shop Purchases (excluding subscriptions)

We collect your personal information from you when you purchase products via the Shop on our website or at our offices.

Your name, address, phone number and email address may be collected and stored. We use this data to process your purchase, update you on your order and to send out any products to you. If you pay via Paypal, your payment details and personal information will be collected and stored in our Paypal account (see Paypal at 2.6 below)

You may set up an account on our online shop.  If you set up an account you can edit your details and preferences by logging in via our website. You can delete your account at any time by emailing info@glasgowheritage.org.uk.

2.4. GCHT Friends Subscriptions

As part of the GCHT Friends subscription you agree and accept that we shall use the personal information you give us when you register:

  • to welcome you to the Friends group and provide the passwords you need to book free tickets & get discounts in our online shop;
  • to provide you with regular event updates;
  • to provide you with exclusive invitations to Friends only events;
  • to alert you to changes to our services;
  • to post you a membership pack, events brochures, invitations and other GCHT publications;
  • to contact you via surveys to conduct research about your opinions of current services or of potential new services that may be offered;
  • to alert you to your renewal date and details.

If you pay via Paypal or credit/debit card, your payment details and personal information will be collected and stored in our Paypal account (see Paypal at 2.6 below)

2.5. Event Bookings

When you book a ticket to one of our events or online your name, email and contact number will be stored in our online event booking system. By submitting registration details, attendees agree to allow Glasgow City Heritage Trust and partners associated with the event to contact you as required for the organisation and administration of the event:

  • to send you updates on event details;
  • to confirm your attendance;
  • to ask you for feedback.

Please be assured that we do not share your personal details with any other company without your consent.

If you pay online or in person using PayPal or credit/debit card your payment details and personal information will be collected and stored in our Paypal account (see Paypal at 2.6 below).

2.6 Payments via PayPal

We use a third-party payment gateway, PayPal, to accept payments online via our website or in person via credit or debit card. If you pay for products or services using PayPal your personal information will be recorded in our online account. We use this information to reconcile financial transactions and check payments have been taken for products and services we provide. We will not have access to your payment information such as credit card details.

2.7. Reporting, insight and analysis

We may also use the personal information referred to in this section 2 to generate aggregated, anonymised data for the purposes of internal reporting, insight and analysis, enabling us to improve the products and services we offer and report to our funders. GCHT is supported by Historic Environment Scotland and Glasgow City Council and we may share anonymised aggregated personal information with them and other funders so that they can understand the impact of the public investment made in Glasgow City Heritage Trust. 

3. Cookies

A “cookie” is a small text file, which helps the server to identify your computer but not the individual. The cookies help us to make your visitor session more personal, and enriching experience.The information derived from our use of cookies will be aggregated to provide statistical information about the usage of our website. However, we do not use any information derived from cookies, nor any IP addresses we collect, to identify any individual user of our website.

If you wish not to have this facility you are able to disable cookies using that option in your particular browsers settings.

4. Access to your personal information

You are entitled to view, amend, or delete the personal information that we hold. Email your request to info@glasgowheritage.org.uk.

5. How long do we keep your personal information?

Unless a longer retention period is required by law, we will only hold your personal information on our systems for the period necessary to fulfil the purposes outlined in this Privacy Policy or until you request it is deleted. If, having registered for any of our services, you do not use them for a reasonable time (which may vary depending on the service(s) you’ve registered for) we may contact you to ensure you’re still happy to receive communications from us. Even if we delete your personal information it may persist on back-up or archival media for legal, tax or regulatory purposes.

We’ll always handle your information in accordance to this Privacy Policy.

We keep our Privacy Policy under regular review. This Privacy Potice was last updated on 17 April 2018.
